Executive Assistant

Location: Remote (preferably based in the Philippines)

This role will require working in the Pacific Time Zone (PT) to align with the CEO's schedule and business needs.

 

Key Responsibilities:

Executive Support:

  • Manage the CEO's complex calendar, ensuring alignment with key business priorities, meetings, travel schedules, and personal commitments.
  • Coordinate communication between the CEO and internal/external stakeholders, acting as the primary liaison.
  • Prepare and edit internal and external communication, including meeting notes, reports, presentations, and emails on behalf of the CEO.
  • Anticipate the CEO’s needs and take proactive action to prioritize daily tasks and manage workload.

Communication Management:

  • Maintain communication with key stakeholders, partners, clients, and other executives, handling sensitive and confidential matters with discretion.
  • Prepare responses to external partners, including handling contract reviews and other business correspondence.

Project Management:

  • Oversee key cross-functional projects (HR, marketing, product design, operations, etc) by organizing timelines, managing workflows, and ensuring deliverables are met.
  • Track the progress of strategic initiatives and business goals, providing regular updates to the CEO and team.
  • Collaboration with the department leads to streamline processes and drive organizational efficiency.

Vendor and Contract Management:

  • Manage vendor relations and oversee the contract review process for services needed by the executive team.
  • Ensure compliance with key legal and business requirements when engaging vendors and partners.

 

Financial Administration:

  • Work with finance and operations teams to provide necessary information for financial decision-making.
  • Process payroll, payments to vendors, company expenses, and other financial transactions.

 

Operational Efficiency:

  • Contribute to internal process development, improving workflows to increase organizational productivity and reduce bottlenecks.
  • Handle sensitive information with discretion and ensure all matters are processed in compliance with confidentiality policies.

 

Personal Support & Travel Coordination:

  • Coordinate both business and personal travel arrangements for the CEO, ensuring smooth logistics and schedules.
  • Assist with personal matters of the CEO as required, ensuring a balanced focus on both professional and personal goals.

 

Qualifications & Skills

Experience:

  • Minimum of 3 years of experience as an Executive Assistant, preferably supporting C-suite executives in a high-growth environment.
  • Proven track record in managing complex schedules, multi-tasking under pressure, and ensuring deadlines are met consistently

Skills:

  • Exceptional written and verbal communication skills, with an ability to draft clear, professional communication on behalf of the CEO.
  • Strong project management skills, with experience in managing multiple projects simultaneously.
  • Experience using AI-based tools to streamline workflows, automate repetitive tasks, and improve productivity.
  • Strong ability to adapt and integrate AI tools to enhance team and executive efficiency.
  • Proficient in Google Suite.
  • Comfortable handling confidential information with the utmost professionalism and discretion.

Education:

  • Bachelor’s degree in Business Administration, Communications, or a related field (advanced degree is a plus).
